An interior material schedule records every applied finish by room and surface, then connects the design choice to its exact product, quantity, approval and installation requirement. This free spreadsheet starts with the fields that keep a selected material from becoming an ambiguous note on a drawing or a late question from the installer.

A mood board can show the stone, tile and paint beautifully while still leaving the project unable to buy or install them. The material schedule carries the unglamorous facts: which surface gets the material, the exact manufacturer reference, how much is required, what waste was allowed and which drawing controls the layout.

Use one row per material and location combination. The same tile used on a floor and shower wall should have two rows when the quantities, substrate, pattern or installer instructions differ. That duplication is useful because the installation condition is part of the specification.

Keep design, quantity and installation in one row

  • Record the net measured quantity and waste allowance separately so a reviewer can reproduce the order quantity.
  • Give an approved sample the same Material ID used on drawings and site labels.
  • Update lead time from the current vendor quote; a value copied from the product page is not a committed date.
  • Reissue the schedule when a color, size, layout or quantity changes, even if the product collection stays the same.

Common questions

What is the difference between a material schedule and a finish schedule?
A finish schedule usually maps a room to broad finish codes such as floor, base, wall and ceiling. A material schedule goes deeper into the exact product, format, quantity, waste, vendor, approval and installation condition. Small projects may combine them, but the two jobs still need those fields.
Should paint be included in a material schedule?
Yes when paint selections, sheen, substrate or location need coordination. Record manufacturer, color code, sheen and surfaces, then reference the finish plan or room schedule. Quantities can remain with the painter when the designer is not purchasing the paint.
